About the position
We are seeking an organized and proactive Administrative Assistant to join our organization. The ideal person for the job will be a problem solver with excellent communication skills and impeccable attention to detail. He/she will have previous experience working in an office environment, performing administrative tasks and providing support to coworkers. The ability to multitask, manage complex schedules, and meet changing deadlines is essential to the position.
GENERAL RESPONSIBILITIES
Provide direct administrative support to senior leaders, including email correspondence, and generation and distribution of memos, letters, spreadsheets, and forms
Plan, organize, and schedule company meetings occurring in the office, offsite, and via video conferenceRecord, compile, transcribe and distribute minutes of meetings
Prepare agendas for meetings and prepare schedulesCoordinate domestic and international travel arrangements for all levels of employees
Maintain filing system, contact database, employee list, and inventories
Retrieve and organize documents in the company filing systems
Handle requests for information and data
Resolve administrative problems and inquiries
Prepare written responses to routine inquiries
Prepare and modify documents including correspondence, reports, drafts, memos, and emails
Open, sort, and distribute incoming correspondence
Coordinate and maintain records
Requirements
High school diploma or equivalent
Proven administrative experience
Superb written and verbal communication skills
Strong time-management skills and multitasking ability
Proficient in Microsoft Office, with the aptitude to learn new software and systems
Professional demeanor and good sense of humor
